Terms and Conditions for Skolyn
Effective Date: 31 August 2026
Welcome to Skolyn. These Terms and Conditions (“Terms”) govern your access to and use of the Skolyn website, platform, applications, features, software, and related services (collectively, the “Platform”).
In these Terms, “Skolyn,” “we,” “us,” and “our” refer to the operator of the Skolyn Platform. “You” or “your” refers to the individual, school, educational institution, organization, or other entity accessing or using the Platform.
By creating an account, accessing, or using Skolyn, you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, you must not use the Platform.
1. About Skolyn
Skolyn is a school management platform designed to help educational institutions manage academic and administrative operations from one connected platform.
Depending on the features available to your institution, Skolyn may support functions such as:
- Student management
- Staff management
- Admissions and enrolment
- Attendance
- Curriculum and academic records
- Classes and timetables
- Examinations and assessments
- Fees and payment records
- Reports and analytics
- Parent, student, and staff communication
- Other school administration functions
Features may vary according to your subscription plan, institution configuration, user role, or service availability.
2. Acceptance of Terms
By accessing or using Skolyn, you agree to comply with these Terms.
If you access or use Skolyn on behalf of a school, educational institution, company, or other organization, you represent that you have the authority to accept these Terms on behalf of that organization.
Certain services or features may be subject to additional terms, policies, subscription agreements, or order forms. Where applicable, those additional terms will form part of your agreement with Skolyn.
3. Eligibility and Authorized Users
Individuals who create an institutional, administrative, or subscription account must be at least 18 years old and have the legal capacity to enter into a binding agreement.
Students or other users under the age of 18 may use Skolyn where access is provided or authorized by their school, educational institution, parent, guardian, or other authorized party, as required by applicable law.
Schools and institutions are responsible for determining who is authorized to access their Skolyn account and for managing the roles and permissions assigned to their users.
4. Account Registration and Security
When registering for or using Skolyn, you agree to provide information that is accurate, complete, and current.
You are responsible for:
- Maintaining the confidentiality of your username, password, and other account credentials.
- Ensuring that only authorized individuals access your account.
- Maintaining accurate account and institutional information.
- Promptly notifying Skolyn if you suspect unauthorized access, misuse, or a security breach involving your account.
You must not share your credentials with unauthorized persons or access another user’s account without permission.
We may require password changes, additional authentication, or other security measures where reasonably necessary to protect the Platform and its users.
5. Acceptable Use
You may use Skolyn only for lawful educational, academic, administrative, and institutional purposes.
You must not:
- Attempt to gain unauthorized access to another account, database, server, network, or system.
- Circumvent or attempt to bypass authentication, permissions, security controls, or access restrictions.
- Upload, transmit, distribute, or introduce viruses, malware, harmful code, or other malicious material.
- Disrupt, overload, damage, interfere with, or impair the Platform or its infrastructure.
- Use the Platform for fraudulent, deceptive, unlawful, abusive, discriminatory, or harmful activities.
- Collect, upload, process, or disclose information that you do not have the lawful authority to use.
- Infringe the intellectual property, privacy, confidentiality, contractual, or other rights of Skolyn or any third party.
- Copy, reverse engineer, decompile, disassemble, or attempt to derive the Platform’s source code except where expressly permitted by applicable law.
- Scrape, harvest, or extract information from the Platform using automated systems without prior authorization.
- Resell, sublicense, lease, or commercially exploit access to Skolyn except under a separate written agreement.
- Misrepresent your identity or affiliation with any person or organization.
We may investigate suspected violations and may restrict or suspend access where reasonably necessary.
6. Responsibilities of Schools and Institutions
Schools and educational institutions using Skolyn are responsible for the information, users, permissions, and activities managed through their institutional account.
The institution is responsible for:
- Ensuring that it has the necessary authority to provide information to Skolyn.
- Obtaining any notices, permissions, authorizations, or consents required by applicable law.
- Managing user accounts, roles, and access permissions.
- Ensuring that users access only information appropriate to their responsibilities.
- Maintaining the accuracy of information entered into the Platform.
- Ensuring that its use of Skolyn complies with applicable laws, regulations, and institutional policies.
Skolyn is not responsible for decisions made by an institution regarding student admissions, academic results, attendance, disciplinary matters, fees, employment, or other institutional activities.
7. License to Use Skolyn
Subject to these Terms and payment of any applicable fees, Skolyn grants authorized users a limited, revocable, non-exclusive, non-transferable, and non-sublicensable right to access and use the Platform for its intended purposes.
No ownership rights in Skolyn, its technology, or its intellectual property are transferred to you.
The rights granted under these Terms automatically end when your account or applicable subscription is terminated.
8. Intellectual Property
The Skolyn Platform, including its software, source code, technology, design, user interface, graphics, logos, trademarks, text, documentation, and other proprietary materials, is owned by or licensed to Skolyn and is protected by applicable intellectual property laws.
Unless expressly authorized in writing, you may not:
- Reproduce or copy Skolyn materials.
- Modify or create derivative works from the Platform.
- Sell, license, distribute, publish, or commercially exploit Skolyn materials.
- Remove copyright, trademark, or proprietary notices.
- Use Skolyn branding in a manner that suggests an unauthorized partnership or endorsement.
You and your institution retain applicable ownership rights in information and content lawfully submitted to the Platform.
9. Customer and Institutional Data
You or your institution retain applicable rights in the data submitted to Skolyn (“Customer Data”).
Customer Data may include information relating to students, parents, guardians, employees, teachers, administrators, academic records, attendance, fees, assessments, and other institutional information.
You grant Skolyn the limited rights necessary to host, store, organize, process, transmit, back up, display, and otherwise handle Customer Data for the purposes of:
- Providing the Platform and its features.
- Maintaining and securing the Platform.
- Providing technical support.
- Preventing fraud and misuse.
- Meeting legal and regulatory obligations.
- Improving the reliability and performance of our services, subject to applicable law and our Privacy Policy.
Skolyn does not claim ownership of your institution’s student, staff, parent, or administrative records.
10. Privacy and Data Protection
Your use of Skolyn is also governed by our Privacy Policy.
Skolyn will process personal data in accordance with applicable Malaysian data protection requirements, including the Personal Data Protection Act 2010 (Act 709), as amended, where applicable. Malaysia’s Personal Data Protection Commissioner identifies Act 709 and the Personal Data Protection (Amendment) Act 2024 as part of the country’s current personal-data framework.
Schools and institutions are responsible for ensuring that they have an appropriate lawful basis, authorization, consent, or other legal permission to collect and provide personal information to Skolyn.
Where required, Skolyn and an institution may enter into additional data processing or data protection agreements.

11. Fees, Subscriptions, and Payments
Some Skolyn services may require payment of subscription fees or other charges.
Pricing, billing periods, subscription terms, taxes, payment methods, and applicable charges will be presented through the Platform or specified in a quotation, order form, subscription agreement, invoice, or other written agreement.
You agree to pay all applicable fees by their stated due dates.
Where payment is overdue, Skolyn may, subject to applicable agreements and law:
- Restrict access to paid features.
- Suspend the relevant subscription.
- Terminate the subscription after appropriate notice.
Unless otherwise stated in writing or required by law, fees already paid are non-refundable.
Any free trial, promotional pricing, discount, or complimentary access may be subject to additional conditions and may be changed or withdrawn as permitted by law.
12. Service Availability
We aim to provide a reliable and secure Platform, but we do not guarantee that Skolyn will be available without interruption at all times.
Access may occasionally be affected by:
- Scheduled or emergency maintenance.
- Software or infrastructure upgrades.
- Internet or telecommunications failures.
- Third-party service interruptions.
- Cybersecurity incidents.
- Events beyond our reasonable control.
Where practical, we will make reasonable efforts to minimize disruption and communicate significant planned outages.
Specific service-level commitments, if any, will apply only where expressly provided in a separate written agreement.
13. Changes to the Platform
Skolyn may periodically introduce, modify, improve, replace, or discontinue features in order to improve security, performance, functionality, compliance, or user experience.
Where a material change substantially affects a paid service, we will make reasonable efforts to provide advance notice where practicable.
We do not guarantee that every feature available at a particular time will remain permanently available.
14. Third-Party Services and Integrations
Skolyn may integrate with third-party products and services, including payment providers, messaging services, cloud services, communication platforms, or other applications.
Your use of third-party services may be governed by the third party’s own terms, privacy policies, and fees.
To the extent permitted by law, Skolyn is not responsible for the availability, content, security, functionality, actions, or privacy practices of third-party services that are outside our control.
Enabling a third-party integration may require Skolyn to exchange certain information with that provider in order for the integration to function.
15. Confidentiality
Through use of the Platform, users may have access to confidential, private, or sensitive information.
You agree to:
- Access confidential information only when authorized.
- Use such information solely for legitimate institutional purposes.
- Protect confidential information from unauthorized disclosure or misuse.
- Comply with the access restrictions and confidentiality requirements established by your institution.
Schools and institutions are responsible for assigning appropriate access permissions to their users.
16. Security
Skolyn takes reasonable technical and organizational measures intended to protect the Platform and information processed through it.
However, no internet-based system or method of electronic storage can be guaranteed to be completely secure.
Users and institutions are also responsible for maintaining appropriate security measures, including protecting credentials, managing account access, using secure devices, and promptly reporting suspected security incidents.
17. Suspension and Termination
Skolyn may suspend, restrict, or terminate access to all or part of the Platform where reasonably necessary, including where:
- These Terms are materially violated.
- The Platform is used for unlawful or unauthorized purposes.
- An account creates a material security or operational risk.
- Required subscription fees remain unpaid.
- Fraudulent or abusive activity is suspected.
- We are required to do so by applicable law, regulation, or a competent authority.
Where appropriate, we may provide notice and an opportunity to remedy the issue before termination.
You or your institution may stop using Skolyn or terminate an applicable subscription in accordance with the relevant subscription agreement.
Upon termination, user access may be disabled.
Retention, deletion, return, or export of Customer Data following termination will be governed by applicable law, the Privacy Policy, your subscription agreement, and any applicable data processing agreement.
18. Disclaimer of Warranties
To the maximum extent permitted by applicable law, the Platform is provided on an “as is” and “as available” basis.
Skolyn does not warrant that:
- The Platform will always be uninterrupted or error-free.
- Every defect will be corrected immediately.
- The Platform will be completely free from cybersecurity threats.
- The Platform will meet every specific requirement of every institution.
- Information entered by users will be accurate or complete.
You are responsible for determining whether Skolyn is appropriate for your institution’s requirements.
Nothing in these Terms excludes any warranty, right, or remedy that cannot lawfully be excluded.
19. Limitation of Liability
To the fullest extent permitted by applicable law, Skolyn and its directors, officers, employees, affiliates, contractors, representatives, and service providers will not be liable for indirect, incidental, special, exemplary, punitive, or consequential losses arising from or relating to your use of the Platform.
This includes, where legally permitted, losses relating to:
- Loss of profit or revenue.
- Loss of business opportunities.
- Business interruption.
- Loss of anticipated savings.
- Loss or corruption of data.
- Loss arising from unauthorized account use.
- Decisions made based on information entered into or generated through the Platform.
Nothing in these Terms excludes or limits liability where such liability cannot legally be excluded or limited under Malaysian law.
20. Indemnification
To the extent permitted by law, you or the institution you represent agree to indemnify and hold Skolyn, its affiliates, directors, employees, and representatives harmless from claims, liabilities, damages, losses, and reasonable costs arising from:
- Your unlawful or unauthorized use of the Platform.
- Your material breach of these Terms.
- Your violation of a third party’s rights.
- Customer Data submitted without the required rights or authorization.
- Your violation of applicable law.
This provision does not apply to the extent that a claim results from Skolyn’s own unlawful conduct, negligence, or other liability that cannot legally be excluded.
21. Feedback
We welcome suggestions, ideas, comments, and feedback regarding Skolyn.
If you voluntarily provide feedback, you grant Skolyn a worldwide, perpetual, royalty-free right to use that feedback for the purpose of developing, improving, operating, or promoting the Platform.
Providing feedback does not transfer ownership of your Customer Data to Skolyn.
22. Changes to These Terms
We may update these Terms from time to time to reflect changes in:
- The Skolyn Platform.
- Our services or business practices.
- Applicable laws or regulations.
- Security or operational requirements.
When we make material changes, we may provide notice through the Platform, by email, or through another reasonable method.
The updated Terms will state their effective date.
Your continued use of Skolyn after revised Terms become effective constitutes your acceptance of those revised Terms, to the extent permitted by applicable law.
If you do not agree with the updated Terms, you should discontinue use of the Platform.
23. Governing Law and Jurisdiction
These Terms are governed by and construed in accordance with the laws of Malaysia, without regard to conflict-of-law principles.
Subject to any rights or remedies that cannot be excluded under applicable law, any dispute, claim, or proceeding arising from or relating to these Terms or the use of Skolyn will be subject to the jurisdiction of the courts of Malaysia.
The parties may attempt to resolve disputes in good faith before commencing formal legal proceedings.
24. Force Majeure
Skolyn will not be responsible for delays or failures to perform obligations caused by events reasonably beyond our control, including natural disasters, floods, fires, epidemics, governmental actions, telecommunications failures, widespread internet outages, cyberattacks, power failures, civil disturbances, or failures of third-party infrastructure.
This provision does not excuse obligations that cannot legally be excluded.
25. Severability
If any provision of these Terms is found to be unlawful, invalid, or unenforceable, that provision will be enforced to the maximum extent permitted by law or removed where necessary.
The remaining provisions will continue in full force and effect.
26. No Waiver
If Skolyn does not immediately enforce a provision of these Terms, this does not mean that we waive our right to enforce that provision later.
Any waiver must be expressly agreed to in writing.
27. Assignment
You may not transfer or assign your rights or obligations under these Terms without our prior written consent.
Skolyn may transfer or assign its rights and obligations in connection with a merger, acquisition, corporate restructuring, financing, sale of business or assets, or similar transaction, subject to applicable law.
28. Entire Agreement
These Terms, together with the Skolyn Privacy Policy and any applicable subscription agreement, order form, data processing agreement, or additional terms, constitute the agreement governing your use of the Platform.
Where there is a conflict between these Terms and a separately signed agreement between Skolyn and your institution, the separately signed agreement will prevail to the extent of the conflict.
